How you will contribute:
This is a great opportunity to showcase your attention to detail and strong organizational skills. Ahern is seeking a highly organized and resourceful Department Coordinator to support key functions across the Legal, Marketing, and Human Resources departments. Reporting to the General Counsel, this role will provide essential administrative, operational, and coordination support across a variety of strategic and day-to-day activities. The ideal candidate will be a self-starter who excels at juggling multiple responsibilities, thrives in a collaborative environment, and demonstrates a strong sense of ownership and confidentiality.
Legal Department Support:
- Oversee record retention policy management, ensuring consistency with company and legal requirements.
- Provide administrative support to corporate attorneys, including scheduling, document preparation, and internal coordination.
Marketing Department Support:
- Process and track purchase orders, invoices, and Comdata transactions for the marketing department.
- Assist with website content updates and RedZone platform management.
Human Resources Department Support:
- Support Learning & Development initiatives, including scheduling training, managing materials, and tracking participation.
- Support overall HR operations, including assisting with bi-annual engagement survey, HRA set-up, flu shot clinic, RPA confirmations and RedZone content review.
What you need to qualify:
Ahern will help make the most of your Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred. 2+ Years of administrative, coordination, or multi-departmental support is required. Strong attention to detail, organizational skills, and the ability to manage multiple priorities simultaneously. Excellent communication skills, both written and verbal. Ideal candidates will be proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with SharePoint, SmartSheet and ERP/HRIS systems is a plus. A high level of professionalism and absolute discretion when handling sensitive or confidential information. Positive attitude and a proactive approach to improving processes and solving problems.
